Purpose and Scope
First Responders Australia is committed to protecting your privacy and is bound by the Privacy Act 1988 (Cth) (Privacy Act) and Australian Privacy Principles (‘APPs’) in relation to the handling of personal information. This Privacy Policy sets out how we handle personal information. It also explains how individuals can seek to access and correct their personal information and make a privacy complaint.

First Responder Veterans Australia is a membership based entity, members are required to provide some basic information to us, this policy explains what we do with it and why.

Collection of personal information

Phone calls and emails
We may ask you to provide contact and other details when you contact us by phone or email for the purpose of facilitating services, managing our groups, and membership and ensuring that only members can access our online groups, services, and of course our official veteran's merchandise.  This includes basic details of your service and personal details

Website
There are many aspects of our website, located at URL https://1stnet.au/, which can be viewed without providing any personal information to us. However, for access to member only activities or services, or to participate in any events, or to purchase products, you are required to submit personally identifiable data, such as your name and information. Similarly, we may ask you to provide contact and other details, such as your phone number, postal and email address to utilise other aspects of the Website and our groups, including signing up as a volunteer, seeking to participate in an activity, or subscribing to our digital magazine or newsletter.

Membership and Wellbeing activities
First Responder Veterans Australia may collect information about those we offer services to, such as their name, their service details, and other relevant information for the purpose of facilitating services to participants (first responders). If you are applying for membership, which is necessary to access all of our groups, activities, services, events and other member related services, we require each applicant to complete an online form with just the necessary details required for us to;

  • Evaluate your suitability for membership,
  • Manage your membership
  • Tailor programs, events and activities using information from where our members are located,
  • Insurance, if and when required,
  • Emergency support if, and when required.

We do publish in a secure area and our Facebook group for full members only, which is as secure as possible, for administrative purposes, the name and membership numbers of members for their own information only.  This information is limited to a members name and membership number only, no other identification details are provided and these are not published on any third party service. other than our own.  A password is required to gain entry and we employ firewall and security programs on our servers.

Volunteering and other support
If you volunteer with, or for us, or are otherwise involved in supporting First Responder Veterans Australia, we may collect personal information about you for the purpose of facilitating your support. For example, if you volunteer, we may need to collect your name and contact details, for the purpose of managing your volunteering. We may also use your contact details to provide you with information about the activities of First Responder Veterans Australia, such as via our newsletter.  Members are also able to register their willingness to assist us by completing a form on our website, the details provided in these forms are also considered protected information.

Photographs and recordings
We may, either by ourselves or via contracted third parties, take photographs and make audio and video recording during the course of events which we organise or is associated with, for the purpose of promoting First Responder Veterans Australia and raising and administering funds to support participants. However, if taking a photo of you or including you in any video raises security concerns because of your service, please feel free to talk about it with the event manager.

Newsletter and promotional materials
As a member your information will be used to send to you our digital newsletter or magazine.  To opt out of these, contact us using the contact details listed below in the ‘Contacting us’ section.

Website Analytics
We use a number of services to collect anonymised data about your interaction with our website, which is hosted by a third party. This data is collected for the purpose of improving our website and online services. The types of data collected include your device’s IP address, geographic location (country only), search terms and pages visited, and data and time of website access.

Cookies
We may collect information in the form of ‘cookies’ about your visit to the Website via ‘cookies’. Cookies are non-personally identifiable information, and include information about the device you used to browse the Website (such as browser type, version and language, and operating system), information about the pages viewed while browsing the Website (pages visited, day and time of your visit, whether you used a search engine to find us, and referring website address), and some geographical information about what country and state you are in. This collected information is used solely for our internal purpose of gauging visitor traffic, trends and delivering personalised content to you while you are at the Website. If you wish, you can set your browser to reject cookies, or to notify you when you receive one in order to accept or reject such receipt in each instance.

Use and disclosure of personal information

We take information security very seriously, especially when we consider who our members are, or were. We will generally only use, but will not externally disclose, your personal information for the purpose for which we collect it, or a related purpose. We may also share personal information with contracted service providers who provide services on our behalf, for example handing customer support enquires, and IT service providers. Where this occurs, we only provide those entities with the personal information they need to deliver the service and take reasonable steps to ensure these contracted service providers are subject to confidentiality and privacy obligations in relation to the protection of your personal information an example of this would be, if needed, data entry assistance or insurance. We may also use data records of questionnaire completion associated with service provision. We will only release as little as information as might be required by legislation or a court order.  We will NOT sell or disclose your information to any service or to any insurance agent or their representatives for any reason.

Marketing and promotional material

We may use the personal information you provide to us to provide you with information about First Responder Veterans Australia via our newsletter, and to promote our purpose of raising and administering funds to support members. Other purposes we may use and disclose your personal information for other purposes if:

  • you provide consent;
  • the use or disclosure is required or authorised by law;
  • the disclosure is necessary to lessen or prevent a serious threat to the life, health or safety of any individual or to public health or safety; or;
  • the disclosure is otherwise permitted under the Privacy Act and Australian Privacy Principles but even then we will still ask your permission.

Storage of your personal information
We hold your personal information in a combination of hard copy and electronic files. We will take such steps as are reasonable in the circumstances to protect your personal information from the risk of misuse, interference and loss, and from unauthorised access, modification or disclosure. For example, we have systems and procedures in place to safeguard information, including the use of technical measures such as encrypted servers and maintaining physical security in order to prevent unauthorised access to records, documents and materials. We will take steps to destroy or de-identify your personal information where we no longer require it.

Merchandise Sales
There are two Merchandise area’s that are soon to be activated on our website.  One section is for general merchandise that anyone can buy.  The merchandise in this section is not provided by us and the details you provide to complete a transaction is not handled or stored by us.  It is advised that you read the third parties policies prior to making any purchase.

The second store will be for members only.  During checkout the system we use on the website does store personal information to assist in the completion of a sale however we use third party services to collect credit card and payment information.  We do not store credit card details.  We cannot be held liable for the information you provide to the third part payment processing service but if any issues arise, we will try to work with you to help you resolve it.


Privacy complaints and further information
If you have a concern about your privacy, Our compliance with the Australian Privacy Principles, or a query on how we handle your personal information, please contact us using the contact details listed below in the ‘Contacting us’ section. We will respond to your query or complaint as soon as reasonably practicable. If you are not satisfied with our response, you may also contact the Office of the Australian Information Commissioner.

Changes to this Privacy Policy
First Responder Veterans Australia reserves the right to make amendments to this Privacy Policy at any time.
